Asst. Manager - Admin

Job Context:

We are looking for an Assistant Manager – Admin for the manufacturing unit of a multinational company. The position will lead the administrative activities under the HR & Admin Department. As a startup concern, the incumbent will be responsible for establishing administrative standards, developing SOPs, and implementing effective systems and processes covering licensing and regulatory compliance, work permits and visas, security clearance and security management, housekeeping, facility and maintenance coordination, and general administration. The incumbent will oversee overall factory administration and ensure smooth, efficient, and compliant day-to-day operations.

Job Responsibilities

• Manage factory licenses, permits, renewals, agreements and regulatory documentation in compliance with statutory requirements.

• Maintain effective liaison with government authorities, regulatory bodies, local administration and other stakeholders.

• Manage work permits, visas, security clearances and other regulatory matters related to expatriate employees.

• Develop and implement Administration SOPs, standards and systems for smooth factory operations.

• Support preparation and submission of Board of Directors-related documents to relevant government authorities.

• Oversee factory security, access control, visitor management, and overall workplace safety and discipline.

• Manage expatriate and employee accommodation, transportation and other administrative facilities as per company policy.

• Oversee housekeeping, 5S, waste management, canteen and overall cleanliness of factory premises.

• Manage company vehicles, drivers, transportation operations and driver discipline.

• Manage administrative purchases, inventories, vendors, contracts and administrative resources in a cost-effective manner.

• Coordinate meetings, corporate events, office logistics and other administrative activities.

• Lead crisis management, emergency response, health & safety initiatives and related preparedness activities.

• Train and guide security, housekeeping and safety teams in accordance with company policies and legal requirements.

• Manage administrative service providers and ensure service quality and contract compliance.

• Support employee welfare initiatives and address administrative grievances and workplace concerns in a timely manner.

• Ensure smooth day-to-day administration and effective coordination among HR, Admin, Facilities, Security and other departments.
