Job Context

• To serve as the primary point of contact for patients and visitors—ensuring a warm, professional, and efficient front-desk experience by managing patient reception, inquiries, appointment scheduling, and basic billing while maintaining strict confidentiality and enhancing overall patient satisfaction.

Key Responsibilities

• Warm Reception & Guest Relations: Welcome all patients, guests, and visitors with a polite, professional, and empathetic demeanor to ensure a comforting first impression.
• Front Desk & Flow Management: Streamline patient check-ins, check-outs, and intake workflows to maintain an orderly clinic environment and minimize waiting times.
• Communication Handling: Manage incoming phone calls, emails, and general inquiries swiftly, routing them accurately to the appropriate medical staff or departments.
• Appointment Scheduling: Coordinate, book, and confirm patient consultations and follow-up schedules to optimize daily room and doctor utilization.
• Patient Record Administration: Create, update, and manage secure patient files and administrative databases while maintaining strict data privacy protocols.
• Service Guidance & Information Support: Inform patients clearly regarding hospital service packages, visiting hours, operational policies, and general facility guidelines.
• Pre-Test & Diagnostic Guidance: Educate and guide patients thoroughly through specific diagnostic test preparation steps, fasting instructions, and specimen collection requirements.
• Reception Environment Care: Ensure the front desk, waiting lounge, and reception area remain neat, welcoming, hazard-free, and well-organized.
• Cross-Departmental Coordination: Partner seamlessly with nursing, billing, laboratory, and pharmacy teams to bridge communication gaps and elevate overall patient experience.
• Billing & Invoice Generation: Prepare, compute, and issue accurate itemized patient bills and discharge statements efficiently.
• Cashiering & Payment Processing: Handle financial transactions securely, collecting and processing payments through cash, credit/debit cards, and digital gateways.
• Financial Record Keeping & Account Posting: Maintain transparent daily collection logs, update ledger entries, and post received payments directly to individual patient accounts.
• Accounts Receivable & Dues Follow-Up: Monitor overdue payments, track outstanding invoices, and follow up diplomatically on pending corporate or private balances.
• Triage & Emergency Direction: Identify urgent medical distress or emergency cases immediately at the front desk and route them instantly to the emergency response team.
• Feedback & Complaint Navigation: Listen to initial patient concerns or grievances with patience, resolve minor front-desk issues, and escalate major complaints constructively to the hospital management.
