The Personal Secretary to the Chairman will provide high-level administrative, secretarial, and coordination support to ensure the smooth and efficient management of the Chairman`s daily activities, communications, schedules, and official responsibilities. The role requires exceptional organizational skills, professionalism, confidentiality, and the ability to work independently in a fast-paced environment.
Key Responsibilities:
Manage and maintain the Chairman`s daily schedule, appointments, meetings, and travel arrangements.
Coordinate internal and external meetings and ensure timely preparation of necessary documents and materials.
Handle confidential correspondence, emails, phone calls, and official communications on behalf of the Chairman.
Prepare meeting agendas, minutes, reports, presentations, letters, and other business documents.
Act as a liaison between the Chairman, senior management, employees, clients, and external stakeholders.
Screen and prioritize incoming requests, communications, and appointments.
Follow up on important decisions, action items, and assignments made by the Chairman.
Organize business trips, travel itineraries, accommodation, and logistics.
Maintain confidential files, records, and important company documents in an organized manner.
Ensure effective coordination and communication between the Chairman`s office and other departments.
Assist in preparing reports, presentations, and briefing materials for meetings and events.
Handle sensitive information with the highest level of professionalism and discretion.
Perform other administrative and executive support duties as assigned by the Chairman.
