Key Responsibilities

1. Probation Records & Data Management
Maintain accurate and up-to-date records of students on academic probation.
Update probation status, academic progress, warnings, and related information in the designated university systems.
Prepare lists, reports, statistics, and summaries relating to probation students as required.
Ensure accuracy and consistency of probation-related data across relevant records.
2. Student Communication & Support
Communicate with probation students regarding their academic status, applicable requirements, deadlines, and university procedures.
Respond to routine queries from students and guide them to the appropriate office/person when further assistance is required.
Assist in arranging counselling, advising, or other academic support where applicable.
3. Monitoring & Follow-up
Monitor compliance with probation-related academic requirements and deadlines.
Follow up on required forms, undertakings, advising records, and other relevant documents.
Track students' academic progress and prepare follow-up information as directed by the Registrar.
4. Coordination with Other Offices
Coordinate with Faculties and related Departments, and other relevant offices regarding probation-related matters.
Facilitate timely processing of approved probation-related actions.
Provide necessary information to authorized offices while ensuring confidentiality and adherence to university policy.
5. Documentation & Reporting
Maintain proper filing and documentation of probation-related correspondence and records.
Assist in preparing reports, meeting documents, notices, and other official communications.
6. Administrative Support
Assist in implementing decisions and instructions relating to academic probation.
Maintain a systematic record of pending cases and ensure timely follow-up.
Perform other duties related to probation administration as assigned by the competent authority.
