Overall Administration
- Manage and supervise the day-to-day administrative operations of the hospital/diagnostic center.
- Develop and implement administrative policies, procedures, and SOPs.
- Ensure smooth coordination between all departments.
- Monitor operational efficiency and resolve administrative issues.
- Report operational and administrative matters to the Managing Director/CEO/Director.
Hospital & Diagnostic Operations
- Ensure smooth operation of OPD, emergency, diagnostic, laboratory, radiology, pharmacy, admission, discharge, billing, reception, and other support services.
- Coordinate with doctors, nurses, technicians, and other departments.
- Monitor patient flow and minimize waiting time.
- Ensure proper maintenance of patient service standards.
- Handle operational problems and complaints promptly.
Human Resource & Staff Management
- Coordinate recruitment, joining, transfer, promotion, and separation processes with HR/Management.
- Prepare and monitor duty rosters and staff deployment.
- Monitor attendance, punctuality, leave, overtime, and disciplinary matters.
- Evaluate staff performance and recommend corrective actions.
- Ensure adequate manpower in all departments.
- Conduct regular meetings with administrative/support staff.
Compliance & Regulatory Affairs
- Ensure compliance with applicable healthcare, diagnostic, labor, fire safety, environmental, and local regulatory requirements.
- Maintain necessary licenses, registrations, certificates, and renewals.
- Coordinate with government/regulatory authorities when required.
- Ensure proper documentation for inspections and audits.
- Implement organizational policies and healthcare standards.
Facility & Maintenance Management
- Supervise building, electrical, plumbing, HVAC, generator, lift, medical gas, water supply, and other facility-related services.
- Ensure preventive and corrective maintenance.
- Coordinate with contractors and service providers.
- Monitor cleanliness, hygiene, waste management, and pest control.
- Ensure proper signage, lighting, seating, and patient facilities.
Security & Safety
- Supervise security personnel and security systems.
- Ensure CCTV monitoring and security procedures.
- Develop emergency response and evacuation procedures.
- Ensure fire safety equipment and drills are properly maintained.
- Investigate incidents and prepare reports.
Procurement & Inventory Coordination
- Coordinate procurement of medical, laboratory, office, housekeeping, and other supplies.
- Monitor stock levels and prevent shortages or unnecessary purchases.
- Coordinate with suppliers/vendors.
- Verify service quality and delivery schedules.
- Support cost-control initiatives.
Patient Service & Customer Relations
- Monitor reception, customer care, appointment, admission, and help-desk services.
- Handle escalated patient/customer complaints.
- Establish systems to improve patient satisfaction.
- Monitor patient feedback and take corrective action.
- Maintain professional behavior and service standards among employees.
Finance & Cost Control
- Coordinate with Finance/Accounts regarding administrative expenses.
- Monitor departmental budgets and operating costs.
- Control unnecessary administrative expenditure.
- Review vendor bills and service contracts where applicable.
- Support management in cost-reduction initiatives.
Documentation & Reporting
- Prepare daily/weekly/monthly administrative reports.
- Maintain records of attendance, incidents, maintenance, security, complaints, inventory, and other administrative activities.
- Analyze operational data and provide recommendations to management.
- Maintain proper filing and documentation systems.
Quality Management
- Support implementation of quality management systems.
- Ensure SOPs are followed by staff.
- Conduct regular departmental inspections.
- Identify operational gaps and implement corrective actions.
- Support internal and external audits/accreditation activities.
Leadership & Coordination
- Lead the administrative team and support-service departments.
- Conduct regular coordination meetings.
- Set departmental targets and monitor performance.
- Motivate employees and maintain discipline.
- Act as the key coordination point between management and operational departments.
