Executive – Finance, HR & Administration

Accounting & Finance

• Lead & assist all accounting, finance, budgeting, and financial planning activities.
• Prepare monthly, quarterly, and annual financial statements.
• Manage cash flow, banking relationships, and working capital.
• Develop and monitor annual budgets and financial forecasts.
• Pay & process utility payments and resident maintenance fees.
• Handle entire Accounting & Finance and maintain proper documentation and financial control.

Human Resources

• Manage recruitment activities including job posting, interview scheduling, candidate coordination, onboarding, and joining formalities.
• Prepare and maintain employee personal files, HR documentation, appointment letters, confirmation letters, and other employee records.
• Maintain attendance, leave records, overtime data, and prepare monthly attendance summaries for payroll processing.
• Oversee employee orientation, onboarding, and engagement activities.
• Handle employee relations, disciplinary procedures, warning letters, and grievance handling documentation.
• Maintain HRIS and ensure accurate updating of employee information and organizational records.
• Recommend and implement policies, budgets, staffing plans, and strategic initiatives in coordination with executive management.
• Maintain accurate employee records and HR information systems.

Administration

• Perform day-to-day administrative activities including office maintenance, housekeeping, stationery, and office supplies.
• Oversee regular maintenance of office premises, whole electrical systems, and plumbing to ensure a safe work environment.
• Coordinate with service providers, contractors, and vendors to ensure uninterrupted administrative services.
• Handle in obtaining and renewing statutory licenses, permits, and regulatory documents as assigned.
• Ensure compliance with company policies, administrative procedures, and statutory requirements.
• Prepare HR, administration, attendance, and compliance reports for management review.
• Perform any other HR and administrative duties assigned by the reporting manager or management.

Procurement & Purchasing

• Ensure timely procurement of goods and services.
• Monitor procurement budgets and achieve cost savings.
• Maintain procurement records and contract documentation.
• Oversee inventory control and asset procurement.
