Green Channels Ltd. is seeking a highly organized and dependable Executive Assistant / Project Coordinator to work directly with the Managing Director.
This is not a traditional secretarial position. The selected candidate will assist the Managing Director in organizing priorities, coordinating multiple projects, following up on assigned actions and ensuring that important matters are completed within agreed deadlines.
The position requires maturity, discretion, strong communication skills and the ability to work independently with limited supervision.
Key Responsibilities
- Organize and regularly update the Managing Director’s tasks, priorities, appointments and deadlines.
- Convert instructions and discussions into clear action points, responsibilities and target dates.
- Follow up with managers, employees and other concerned persons on assigned actions.
- Verify the actual progress of tasks rather than relying only on verbal updates.
- Prepare daily or weekly summaries of completed, pending, overdue and blocked actions.
- Clearly identify matters requiring the Managing Director’s decision or approval.
- Coordinate internal development projects involving company organization, procedures, digital systems, ERP/FileMaker and Microsoft 365.
- Support the preparation and follow-up of meetings, agendas, minutes and action plans.
- Prepare professional correspondence, reports, presentations, working documents and management summaries.
- Maintain accurate project trackers, follow-up schedules and document-control records.
- Coordinate information and actions between different departments and responsible persons.
- Occasionally coordinate assigned matters involving Milanty Apparels Ltd.
- Communicate with external service providers and business partners when authorized.
- Handle commercial, financial, organizational and personal management information with strict confidentiality.
- Perform other professional assignments given directly by the Managing Director.
Authority Limitation
The selected candidate will coordinate, monitor and report on assigned activities but will not replace departmental managers or make management decisions without authorization.
