Job Purpose.
To ensure smooth, safe, efficient, and confidential day-to-day operation of the hospital, with effective coordination of clinical, administrative, technical, and support services.
Key Responsibilities:
Overall Hospital Operations
- Supervise daily hospital activities from opening to closing.
- Ensure uninterrupted patient care and essential services.
- Coordinate all departments and resolve operational problems promptly.
Staff Management
- Prepare and monitor duty rosters, attendance, leave, and staff performance.
- Ensure discipline, punctuality, proper conduct, and adequate staffing.
- Address staff concerns and coordinate recruitment when required.
Administration & Confidentiality
- Maintain confidentiality of hospital records, patient information, staff matters, financial information, and management decisions.
- Control official documents, reports, registers, and correspondence.
- Ensure proper filing and secure handling of confidential information.
Patient Service & Quality
- Monitor reception, admission, discharge, billing, pharmacy, laboratory, OT, maternity, ward, and emergency services.
- Ensure patient satisfaction and professional service.
- Monitor complaints and take corrective action.
Facility & Technical Management
- Ensure availability of electricity, water, internet, server, generator, equipment, cleanliness, security, and maintenance.
- Immediately respond to technical failures and emergency operational issues.
Compliance, Safety & Infection Prevention
- Ensure compliance with hospital policies, licensing requirements, safety standards, IPC, waste management, and emergency preparedness.
- Monitor risks and ensure timely corrective actions.
Reporting & Coordination
- Prepare daily/weekly/monthly operational reports for management.
- Coordinate meetings and follow up on management decisions.
- Maintain effective communication with doctors, nurses, staff, vendors, and external stakeholders.
Crisis & Emergency Management
- Take immediate administrative action during operational crises, power failure, equipment breakdown, staff shortage, security issues, or other emergencies.
- Ensure continuity of essential hospital services.
